Food pantry volunteer schedule
A pantry shift is a real block of time with a real headcount. Two extra people in a small sorting room is not help. The sheet should stop at the number the coordinator asked for.
Why the group text fails
An open-ended volunteer form creates a crowd on Saturday and a gap on Tuesday, which is when the delivery actually arrives.
What the sheet should do
- Shifts have start, end, and capacity.
- New volunteers can read what the shift involves before they claim it.
- If someone cancels, the next person on the waitlist is emailed.
Tips from running this kind of sheet
- Say what to wear and whether you can lift boxes. Surprises cause no-shows.
- Separate “client-facing distribution” from “back-room sorting” if those need different training.
- Don’t put client stories or names anywhere on the sheet.
- Keep the link semi-private if the building address needs to stay quiet. A link is not a lock, but it isn’t a billboard unless you publish it.
Starter slots
Closed-toe shoes. We’ll show you the routine at the start of the shift. Please cancel if you can’t come — the waitlist is real. The button below copies these into a new sheet you can edit before anyone sees it.

Questions
Can volunteers sign up every week?
Yes. Either they claim each week’s slot, or you generate a repeating shift and they pick the dates they can do.
Do you take payments on the sheet?
No. SlotSheet is for people and slots. Donations stay in whatever system you already trust.
