Volunteers
A volunteer sign-up sheet people actually fill in
Break the event into real jobs, set how many people each job needs, and share one link. Volunteers see what’s still open, sign up in under a minute, and get reminded before their shift.
Free for 3 open sheets. No ads, and no account needed for the people signing up.
Volunteer sign-up sheets fail in two predictable ways: too vague (“we need help Saturday!”) or too much friction (download this, create an account, confirm your password). Both leave the organiser filling gaps by text the night before.
The fix is a list of specific jobs with a clear headcount, shown on a page that works on any phone. When people can see that setup needs 3 and only 1 has signed up, they pick setup.
How it works
- 1
Write jobs, not just times
“Setup: tables and signs, 8:00–8:30” gets more sign-ups than “8:00 shift”. Add a short description so people know what they’re agreeing to.
- 2
Set a headcount per job
Each slot has its own capacity. When it’s full, new people join a waitlist instead of overbooking.
- 3
Share one link
Paste it in an email, newsletter, or group chat, or print it on a flyer. Volunteers need only a name and email.
- 4
Export and remind
Volunteers with a dated slot get an email about 36 hours before. Download a CSV of everyone on the sheet for check-in or thank-you notes.
What the sheet looks like
| Job | Time | Needed | Description |
|---|---|---|---|
| Setup | 8:00–8:45 | 4 | Cones, tables, water station |
| Course marshal | 9:00–10:30 | 6 | Stand at a corner, cheer, point the way |
| Water station | 9:00–10:30 | 3 | Pour and hand out cups |
| Cleanup | 10:30–11:15 | 4 | Recycling and stacking chairs |
How many volunteers to ask for
Plan for 10–20% of sign-ups to fall through on the day, more for early-morning or bad-weather events. Set capacity one higher than you strictly need on critical jobs like setup and check-in, and keep a waitlist on popular ones.
Short shifts fill faster. Two 90-minute shifts usually fill before one 3-hour shift does, and people who enjoy the first often stay for the second.
What to collect (and what not to)
A name and email is enough for most volunteer sheets. Use the note field for one useful question, such as “T-shirt size” or “Can you lift tables?”. Don’t collect children’s contact details: ask for a parent or guardian instead.

Questions
Is this volunteer sign-up sheet free?
Yes. The free plan includes 3 open sheets, unlimited volunteers, waitlists, cancel links, a 36-hour reminder, and CSV export. There are no ads on any plan.
Can volunteers sign up for more than one job?
Yes, by default. If you want one job per person, turn on “one sign-up per email” for that sheet.
Can volunteers cancel themselves?
Yes. Every confirmation email has a private link to cancel or switch. If someone cancels, the first person on that job’s waitlist is confirmed and emailed.
Can I send texts to volunteers?
Not yet. SlotSheet sends email confirmations and reminders only. If your group relies on texts, keep the group chat for announcements and use the sheet for who’s doing what.
Can more than one person manage the sheets?
On the School / league plan ($15/month), the owner can invite other organisers to run sheets for the group under one subscription.
