Parent-teacher conference sign-ups without the paper slips
Make one slot per conference, one family per slot, and send the link home. Families book a time that fits, get a reminder, and reschedule themselves if plans change.
Free for 3 open sheets. No ads, and no account needed for the people signing up.
Paper conference slips come back late, overlap, or get lost in backpacks, and the teacher spends a planning period untangling them. An online sheet shows open times instantly and never double-books.
Because each conference is a single slot with capacity 1, the first family to choose a time gets it. Anyone who can’t make the offered times can take a “phone call, another day” slot instead.
How it works
- 1
Block your conference times
Add back-to-back slots (15 minutes is common) with a short break every hour. Each slot holds one family.
- 2
Add an alternative
A “phone or video call, another day” slot with a higher capacity catches families who work during conference hours.
- 3
Send the link home
Share it in the class newsletter or school messaging app. Families book with a parent’s name and email.
- 4
Reminders and swaps
Families get an email about 36 hours before. If they need another time, they switch through their own link. No email to you required.
What the sheet looks like
| Slot | Time | Families | Note |
|---|---|---|---|
| Conference | 3:00–3:15 | 1 | Room 12 |
| Conference | 3:15–3:30 | 1 | Room 12 |
| Break | 4:00–4:10 | - | Leave unbooked |
| Phone call, another day | Teacher follows up | 6 | Best number or time? |
Siblings and shared rooms
Families with children in several classes often want back-to-back slots. Mention in the description that they should book each teacher’s sheet and leave a 5-minute gap to walk between rooms. Grade teams on the School / league plan can each run their own sheet under one account.
Families who can’t come in person
Offer a few slots marked “phone or video” inside conference hours, as well as the follow-up option for another day. Parents on shift work often can book a 15-minute call from their break even when they can’t get to the building. Put the call details in the slot description so nobody has to email for them.
What to ask in the note
One useful note field is enough: “Anything you’d like to discuss?” or “Do you need an interpreter?” Keep children’s names off the public sheet; the parent’s name is enough to match the family.
Make yours in a couple of minutes
The starter sheet opens with example slots filled in. Change the dates and names, then share the link.
Questions
How do parents sign up for a conference time?
They open the link, pick an open time, and confirm with a name and email. They get a confirmation with a private link to switch or cancel.
Can two families book the same slot?
No. Each conference slot has capacity 1, and once it’s booked it shows as full.
Do families get a reminder?
Yes, about 36 hours before their slot by default. Organiser plans can choose 24 or 48 hours.
Can the whole school use it?
Yes. On the School / league plan, the owner invites other teachers as organisers so each runs their own conference sheet.
Is it free for teachers?
Yes. The free plan covers 3 open sheets with no ads, which is plenty for one teacher’s conferences.
