A church volunteer schedule for every Sunday team
Greeters, ushers, coffee, nursery, welcome desk, Sunday school. Lay out each service as slots, let volunteers claim the Sundays that suit them, and send reminders automatically.
Free for 3 open sheets. No ads, and no account needed for the people signing up.
Most church volunteer schedules are kept by one faithful person with a spreadsheet and a lot of phone calls. It works until that person goes on holiday.
A shared schedule lets volunteers serve on their own terms: they see the month, pick their Sundays, and swap through their own link. The coordinator spends Saturday on the gaps, not on reminder calls.
How it works
- 1
Map each service
Create slots per role and service: “Greeters · 9:00 service” (2 people), “Coffee host · between services” (2), “Welcome desk” (1).
- 2
Lay out the month or season
Add a slot for each Sunday. Organiser plans can generate every Sunday between two dates in one step.
- 3
Invite the teams
Share one link in the bulletin, newsletter, or team email. Volunteers sign up with a name and email only.
- 4
Reminders and cover
Volunteers get an email about 36 hours before their Sunday. If someone cancels, the first person on that slot’s waitlist is confirmed automatically.
What the sheet looks like
| Role | Sunday | Needed | Note |
|---|---|---|---|
| Greeters · 9:00 service | Every Sunday | 2 | Arrive 8:40 |
| Coffee host | Every Sunday · 10:15 | 2 | Start the urns, wipe the counter |
| Nursery helper | Every Sunday · 10:45 | 2 | Must be on the safeguarding list |
| Welcome desk | Every Sunday · 10:30 | 1 | Guest cards and visitor questions |
Safeguarding and children’s ministry
For roles with children, state your church’s requirements in the description (safeguarding training, background checks, two-adult rule) and only share that sheet with cleared volunteers. SlotSheet doesn’t verify clearances, so it schedules people you’ve already approved.
Avoiding volunteer burnout
A small group of regulars often ends up serving every week. Turn on “one sign-up per email” for the first half of each month so newer members get first pick, and make the slots visible in the bulletin so people can see where help is needed. A sheet that shows three empty greeter slots recruits better than a general appeal from the front.
One subscription for the whole church
If hospitality, children’s ministry, and the food pantry each have a coordinator, the School / league plan ($15/month) lets the owner invite them as organisers. Each runs their own sheets, and the church pays once.
Make yours in a couple of minutes
The starter sheet opens with example slots filled in. Change the dates and names, then share the link.
Questions
How do I make a church volunteer schedule?
Create a sheet with one slot per role per Sunday, set how many people each role needs, and share the link with your volunteers. They claim the Sundays they can serve.
Can volunteers swap Sundays?
Yes. The link in their confirmation email lets them switch to an open Sunday or cancel, which notifies the waitlist.
Do older members need an app?
No. It’s a web page. They type a name and email and tap a button. Reminders arrive by email.
Can several ministry leaders run schedules?
Yes, on the School / league plan. The owner invites other organisers to share one subscription.
Is SlotSheet free for churches?
The free plan covers 3 open sheets with no ads. Churches with many teams usually choose Organiser ($5/month) or School / league ($15/month).
