Vacation Bible School volunteer sign-up
VBS is five mornings that feel like a short summer camp. The sign-up has to show Monday’s snack separately from Thursday’s games, or Wednesday arrives with neither.
Why the group text fails
A single “I can help!” list doesn’t tell you if the craft station has two adults or six. Stations have ratios. The sheet should too.
What the sheet should do
- Station slots have capacities that match the number of kids you expect.
- People who can do all week sign up for each day, or you make a “full week” slot with a small capacity.
- Snack duty is its own row so it isn’t forgotten under decoration.
Tips from running this kind of sheet
- Publish the child-safety rule and the age of kids in the room before anyone claims a slot.
- Ask volunteers to use the adult name that matches their background check.
- Add a decoration night the week before. It recruits people who can’t do mornings.
- Keep medical and allergy lists off the public sheet. Station leads get those from the director.
Starter slots
Mornings are 9:00–12:00. Full-week crew leads should sign up for each station day they can truly attend. Snack is nut-free. The button below copies these into a new sheet you can edit before anyone sees it.

Questions
Can teens volunteer?
Follow your church policy. If teens help, an adult should still be the name on the slot, or your policy should say otherwise in the description.
How do we avoid empty stations?
Watch the dashboard. A station at capacity is done. A station at zero is the one to mention on Sunday.
