A bake sale sign-up sheet that covers the baking and the table
Split the sale into what you need baked and who staffs the table, set a number for each, and send one link. Families see what’s still missing instead of everyone bringing brownies.
Free for 3 open sheets. No ads, and no account needed for the people signing up.
A printable bake sale sheet works when everyone walks past the same classroom door. Most bake sales now get organised in a parent group chat, where a paper sheet can’t be seen and a shared spreadsheet gets overwritten from someone’s phone.
An online bake sale sign-up sheet does two jobs at once. It balances the table, so you get cookies, bars, gluten-free options, and something savoury rather than six trays of cupcakes. It also fills the shifts, so somebody is there to take cash at 7:45 and somebody packs up at the end.
How it works
- 1
Split the goods into categories
Make one slot for each kind of item, such as cookies, brownies and bars, cupcakes, gluten-free or nut-free, and bread or savoury. Give each a number, like 6 cookie trays or 3 gluten-free items.
- 2
Add the table shifts
Add timed slots for setup, each selling shift, and cleanup, with two people on each. Timed slots get an email reminder before the shift starts.
- 3
Ask what they’re bringing
Change the note label to “What are you baking?” so families write “2 dozen oatmeal cookies, contains nuts” and you can plan labels and pricing.
- 4
Share the link and watch it fill
Post the link in the class newsletter or group chat. When a category is full, late bakers join its waitlist or pick something that’s still short.
What the sheet looks like
| Slot | When | Needed | Note |
|---|---|---|---|
| Cookies (dozen, bagged in 2s or 3s) | Drop off by 7:30 | 8 | Label if they contain nuts |
| Gluten-free or nut-free item | Drop off by 7:30 | 3 | Keep separate from other trays |
| Setup: tables, cash box, signs | Fri 7:15–7:45 | 2 | Cash box is in the office |
| Selling shift | Fri 7:45–8:30 | 2 | Before the bell |
| Selling shift + cleanup | Fri 2:45–3:30 | 3 | After school pickup |
How many baked goods do you need?
A rough rule for a school entrance sale is one item for every three or four students who pass the table, priced at $1 to $3. For a 400-student elementary school, that’s around 100 to 130 items, or about 10 to 12 families each bringing a dozen. Set your category numbers to add up to that total and stop worrying about running out at 8:10.
Ask bakers to pre-bag or plate items in single servings. It speeds up the line and makes pricing simple: everything in a bag is one price.
Put the house rules in the sheet description
Bakers read the description before they pick a slot, so that’s where the rules belong:
- Whether the school allows homemade food, or only store-bought, individually wrapped items.
- Allergy labelling: ask for a card listing nuts, dairy, eggs, and gluten.
- Drop-off time and place, and who to hand trays to.
- What happens to leftovers, such as a staff room donation or a half-price final hour.
Make yours in a couple of minutes
The starter sheet opens with example slots filled in. Change the dates and names, then share the link.
Questions
Is there a free online bake sale sign-up sheet?
Yes. SlotSheet’s free plan lets you run up to 3 open sheets with as many bakers and helpers as you need. Nobody signing up sees ads, and they don’t need an account.
Can I collect money for bake sale items through the sheet?
No. SlotSheet organises who brings what and who staffs the table. Take payment at the table with cash or your school’s usual payment app.
Can one family sign up for baking and a shift?
Yes. By default a family can claim several slots, such as a tray of cookies and the 7:45 shift. Turn on one sign-up per email if you want to spread the work more evenly.
Is there a printable version?
Export the sign-ups as a CSV and open it in Google Sheets or Excel to print a check-in list for drop-off morning.
We do a bake sale every month. Do I rebuild it each time?
No. Duplicate last month’s sheet, change the dates, and share the new link. If you hold it every week, the Organiser plan can generate the weekly slots for a whole term in one go.
