Volunteer sign-ups for a booster club that runs all year

Football gates in the fall, a band competition in spring, a fundraiser every few weeks. Give each event its own sheet with timed jobs, and let committee chairs run their own sheets under one club account.

Free for 3 open sheets. No ads, and no account needed for the people signing up.

Booster clubs run a steady stream of events with volunteers: concessions, ticket gates, uniform fittings, chaperoning, competition hospitality, fundraisers, and the end-of-season banquet. Each has its own volunteer chair, and the same few parents get asked every time.

A booster club volunteer sign-up works best as one sheet per event with timed jobs. Parents see the whole calendar of needs, pick what fits, and get a reminder. The club owns the account, so when a chair hands over to next year’s parent, the sheets don’t leave with them.

How it works

  1. 1

    Create one sheet per event

Name it clearly, such as “Homecoming game: gate and concessions”, and add timed jobs with how many people each needs.

  2. 2

    Invite the committee chairs

On the School / league plan, the club account invites chairs as organisers. Each manages their own events, and the president can see them all.

  3. 3

Publish the links in one place

Put each event’s link in the club newsletter or website calendar. Parents don’t need an account to sign up.

  4. 4

    Duplicate for next season

When the season ends, duplicate the sheets, change the dates, and they’re ready for the new volunteer chairs.

Track volunteer hours without extra work

Many booster clubs ask each family to give a set number of hours, or tie volunteer hours to fair-share fees. Each slot has a start and end time, so the CSV export gives you names, emails, and shift times for every event. Combine a season’s exports in a spreadsheet to total hours per family.

Spread the asks across the year

Booster parents burn out when every message is a new ask. Some habits help:

  • Open each event’s sheet three to four weeks ahead, not the week before.
  • Keep shifts to two or three hours so working parents can fit one in.
  • Give first-timers easy jobs, like ticket gates, before the concession grill.
  • Thank volunteers by name in the newsletter after each event.

Make yours in a couple of minutes

The starter sheet opens with example slots filled in. Change the dates and names, then share the link.

Questions

Is there a free plan for booster clubs?

Yes. The free plan covers 3 open sheets with unlimited volunteers and no ads. Busy clubs with several events open at once usually move to the School / league plan at $15 a month.

Can more than one board member manage sign-ups?

Yes, on the School / league plan. The owner invites other organisers, who each sign in with their own email. Nobody shares a password.

Can we collect fair-share fees or donations?

No. SlotSheet doesn’t take payments. Use your club’s payment platform for fees, and use SlotSheet for the volunteer schedule.

Does it work for sports and theater boosters, not just band?

Yes. The same pattern of events with timed jobs works for football, swim, hockey, drama, and robotics boosters.
