An usher and greeter schedule your team fills in themselves
Turn the ushers’ spreadsheet into a sign-up: each service has spots for ushers and greeters, volunteers choose their weeks, and reminders go out before they serve.
Free for 3 open sheets. No ads, and no account needed for the people signing up.
The head usher usually keeps the rotation in a spreadsheet or on paper in the narthex, then sends it out as a PDF that’s out of date by the second week. Swaps happen by phone, and nobody is sure who is counting the offering on the fifth Sunday.
A church usher schedule as a sign-up sheet keeps one live copy. Each service has slots for ushers, greeters, and the offering count, with the number of people each needs. Volunteers pick their weeks, swap through their own link, and get a reminder, and the head usher can see the gaps.
How it works
- 1
List services and roles
Make slots like “Ushers, 10:30 service, Sun Mar 1” with capacity 4, and “Greeters, 10:30” with capacity 2. Add an offering-count slot if two people count together.
- 2
Generate the quarter
On the Organiser plan, a weekly pattern builds every Sunday slot between two dates. Add special services like Ash Wednesday or Christmas Eve by hand.
- 3
Send the link to your team
Ushers and greeters sign up with a name and email, and they don’t need an account or an app.
- 4
Let them swap without calling you
Anyone who can’t make it cancels from their confirmation email, and the next person on the waitlist is told.
What the sheet looks like
| Slot | Service | Needed | Note |
|---|---|---|---|
| Greeters, main doors | Sun, Mar 1 · 10:15 | 2 | Bulletins on the table |
| Ushers | Sun, Mar 1 · 10:30 | 4 | Seating, offering, communion lines |
| Offering count | Sun, Mar 1 · 12:00 | 2 | Two unrelated adults |
| Ushers, Easter sunrise | Sun, Apr 5 · 6:30 | 6 | Extra chairs needed |
Usher duties to list in the description
A short checklist means a new usher can serve without shadowing for a month:
- Arrive 20 minutes before the service, and check the sanctuary, lights, and temperature.
- Hand out bulletins, help late arrivals find seats, and reserve space for families with strollers.
- Collect the offering and walk it to the counting room with a second usher.
- Direct communion lines, and know where the AED and first aid kit are.
Serving with friends
Many ushers like to serve with the same person or family. Because volunteers can see the names already on a slot when they sign up, friends naturally pick the same Sunday. If your church prefers mixing teams, say so in the description and the head usher can move people around.
Make yours in a couple of minutes
The starter sheet opens with example slots filled in. Change the dates and names, then share the link.
Questions
How many ushers does a service need?
A common rule is one usher for every 50 to 75 seats, plus greeters at each entrance. A 300-seat sanctuary usually needs four to six ushers and two greeters.
Can I schedule lectors, acolytes, and readers on the same sheet?
Yes. Add a slot for each role at each service. Some churches prefer one sheet per ministry so each coordinator manages their own.
Is there a free usher schedule template?
Yes. Start from the church volunteer starter sheet, rename the slots to ushers and greeters, and you can run up to 3 open sheets free with no ads.
Can volunteers add it to their calendar?
They get a confirmation email with the date, time, and location, and an email reminder before the service. There isn’t a calendar file download yet.
