A field trip chaperone sign-up with a fair waitlist

Set exactly how many chaperones the trip allows, share one link, and let extra parents join a waitlist. If a chaperone drops out, the next parent in line is confirmed and emailed.

Free for 3 open sheets. No ads, and no account needed for the people signing up.

Field trip chaperone spots are usually limited by bus seats, ticket counts, or the school’s adult-to-student ratio. Teachers end up deciding who replied first in a flood of emails, then explaining to the other parents why they weren’t picked.

A chaperone sign-up sheet makes the rule visible: a set number of spots, first come first served, and a waitlist in order. It also gives you one list of names and emails to pass to the office for background-check or volunteer-clearance checks.

How it works

  1. 1

Make a slot for each trip

Name it with the place and date, such as “Science Center, Thu May 14, 8:30–2:00”. Add a second slot if the trip has separate morning and afternoon groups.

  2. 2

    Set the number of chaperones

Use the number the school allows. When it fills, the sign-up button becomes a waitlist.

  3. 3

Ask for clearance status in the note

Change the note label to something like “Is your volunteer clearance current? (yes / in progress)” so you can spot who still needs paperwork.

  4. 4

Send one link to the class

Parents see the trip, the open spots, and the rules in the description. Each one gets a confirmation and a reminder before the trip.

Spread the spots across families

If you run several trips a year, turn on one sign-up per email so the same parent can’t take every trip. Families who couldn’t get a spot on the first trip can be given a head start on the next one by opening it to the waitlisted parents first.

Most schools require chaperones to have a background check or volunteer clearance on file before the trip. Close the sheet two weeks out so the office has time to check every name.

What to write in the description

Answer the questions parents would otherwise email you:

  • Whether chaperones ride the bus or drive, and if siblings can come along (usually not).
  • Arrival time at school and expected return time.
  • Cost, if chaperones pay their own admission.
  • Phone rules and what group-leader duties involve.

Questions

How do I pick chaperones fairly?

First come, first served with a visible waitlist is the simplest rule parents accept. The sheet records the order of sign-ups, and the waitlist moves up automatically if a chaperone cancels.

Can the office see the chaperone list?

Export it as a CSV and send it on, or invite a colleague as an organiser on the School / league plan so they can see sign-ups directly.

Do parents need an account to sign up as chaperones?

No. Parents enter their name and email. They can drop out later through the private link in their confirmation, which frees the spot for the waitlist.

Is this free for teachers?

Yes, a teacher can run up to 3 open sheets at no cost, with no ads shown to parents. Close a trip’s sheet afterwards to free the spot for the next one.

Can I collect permission slips or trip fees?

No. SlotSheet handles who is chaperoning. Keep using your school’s forms and payment system for permission slips and fees.
