A food pantry volunteer schedule that fills its own shifts
Post the week’s sorting, packing, and distribution shifts with the number of people each needs. Volunteers choose a shift without an account, get a reminder, and you see exactly who’s coming.
Free for 3 open sheets. No ads, and no account needed for the people signing up.
Small food pantries often run on a church or community center’s volunteers, with a coordinator who phones around before every distribution day. Larger food banks have volunteer software, but it’s often too much for a pantry open two days a week.
A food pantry volunteer schedule built as a sign-up sheet sits in between. Each distribution day has shifts for intake, sorting, packing, and carry-out, each with a headcount. Regulars sign up for the season, new volunteers can find an open shift, and reminders cut down on no-shows.
How it works
- 1
Map out each distribution day
Add timed shifts for unloading the delivery, sorting, packing boxes, client intake, and carry-out.
- 2
Set headcounts from experience
If last Saturday ran smoothly with 6 packers and 2 at intake, use those numbers. Full shifts take a waitlist for walk-in volunteers.
- 3
Make it repeat
On the Organiser plan, a weekly pattern (say every Tuesday and Saturday) generates the shifts for the next few months.
- 4
Share the link everywhere
Put it on your website, the church bulletin, and community volunteer listings. Groups can see how many spots are left before they bring five people.

Plan for the volunteers you actually get
Weekday mornings tend to be retirees and regulars; Saturdays draw students, families, and corporate groups. Publish more, shorter Saturday shifts, and keep weekday shifts longer for regulars who like to stay the morning.
Students needing service hours will ask for proof. The CSV export lists names, emails, and shift times, which the coordinator can use to sign hour logs.
Information to put on the sheet
Cut the questions you answer at the door by putting them in the sheet description:
- Minimum age, and whether under-16s need an adult with them.
- Closed-toe shoes, and no dangling jewelry in the warehouse.
- Parking and which door volunteers use.
- Client privacy: no photos of the people you serve.

Questions
Can groups sign up together?
Each person signs up individually so everyone gets their own reminder. For a large group, the leader can sign up and write the group size in the note, or you can create a group-only slot for them.
Is it free for a small food pantry?
Yes. The free plan covers 3 open sheets with unlimited volunteers and no ads. A pantry running separate weekday and Saturday schedules often fits in the free plan.
Can volunteers swap shifts?
Yes. A volunteer cancels from the link in their confirmation and picks another shift. If someone was on the waitlist, they are confirmed and emailed automatically.
Does it track volunteer hours?
It records each person’s shift times, and you can export them as a CSV. It doesn’t have an hours dashboard, so larger food banks with hours reporting needs may prefer dedicated volunteer software.
