A concession stand sign-up that covers every home game
Turn the season’s home games into short shifts, set how many people each needs, and share one link. Parents pick a shift, get a reminder, and the stand opens on time.
Free for 3 open sheets. No ads, and no account needed for the people signing up.
Concession stands run on volunteer shifts that nobody wants to fill at the last minute: a crew to open and start the grill, sellers in the middle, and a closer who counts the cash box. For a Little League, a football booster club, or a high school team, that’s dozens of shifts a season.
The usual way is a big spreadsheet emailed at the start of the season. Families can’t see open shifts from their phone, swaps happen by text, and whoever runs the stand finds out about a no-show when the line is already ten deep. A concession stand volunteer sign-up sheet keeps every shift visible and sends each volunteer a reminder before their game.
How it works
- 1
List home games as timed shifts
Make one slot per shift, for example “Opening crew, Sat Apr 12, 8:00–10:00”. Most stands use two or three shifts per game day.
- 2
Set a headcount per shift
Opening and closing usually need 2, and a busy midday shift might need 3 or 4. Full shifts take a waitlist.
- 3
Share one link for the season
Post it in the team app or league email. Parents sign up with a name and email, and their confirmation has a private link to cancel or switch shifts.
- 4
Let the reminders work
Each volunteer gets an email about 36 hours before their shift. On a paid plan you can switch it to 24 or 48 hours.
What the sheet looks like
| Slot | When | Needed | Note |
|---|---|---|---|
| Opening crew: grill, coffee, cash float | Sat 8:00–10:00 | 2 | Key code is in the description |
| Midday sales | Sat 10:00–12:30 | 3 | Busiest stretch |
| Afternoon sales | Sat 12:30–3:00 | 2 | |
| Close: count cash, restock, clean | Sat 3:00–4:00 | 2 | Drop cash bag with the treasurer |
Make the shift requirement fair
Many leagues ask each family for a set number of shifts per season, often two or three. Divide total shifts by the number of families to get a fair number, and say it in the sheet description. Every shift is in the CSV export with names and emails, so whoever tracks volunteer requirements can check who has done theirs.
If some families buy out of volunteering, give those shifts to the board members or older players who need service hours, and leave that out of the public sheet.
What new volunteers need to know
Put a short checklist in the description so a first-timer can run the stand without calling anyone:
- Where the key or lockbox code is, or who opens the shed.
- Starting cash amount and where the float is kept.
- Food safety basics: gloves, hair tied back, hot food temperatures.
- The price list, and whether the stand takes cards or only cash.
Make yours in a couple of minutes
The starter sheet opens with example slots filled in. Change the dates and names, then share the link.
Questions
Can I build a whole season of Saturday shifts at once?
On the Organiser plan, a repeating schedule creates weekly slots between a start and end date, up to 40 at a time. Add each shift time once, such as opening, midday, and close, then generate the rest of the season.
Do volunteers need a SlotSheet account?
No. A name and an email address is all a parent needs to take a shift. They manage it later from the link in their confirmation email.
Can several leagues or teams share one account?
The School / league plan ($15/month) lets the owner invite other organisers, so each team’s concession coordinator can manage their own sheets without sharing a password.
What happens when a game is rained out?
Edit the slot to the makeup date or delete it. You can export the volunteer list and email those families from your own email if they need to pick a new shift.
