Church

A church nursery schedule that always has two adults in the room

List every service for the quarter, set two volunteers per room, and share one link. Volunteers pick their Sundays, get a reminder before they serve, and can step back without a round of phone calls.

Free for 3 open sheets. No ads, and no account needed for the people signing up.

Most churches follow a two-adult rule in the nursery: at least two screened adults with the children at all times, and ideally not two people from the same household. That makes the nursery the hardest rotation to fill, because one cancellation leaves the room under-staffed.

A church nursery schedule built as a sign-up sheet makes those gaps visible weeks ahead. Each service is a slot with room for two (or three for a busy service), volunteers choose their own weeks, and anyone who has to drop out frees the spot through their own link, which tells the next person on the waitlist.

How it works

  1. 1

Add each service as a timed slot

For example “Nursery, 9:00 service, Sun Feb 2”. Add a separate slot for each room if infants and toddlers are split.

  2. 2

Set two or three per slot

Capacity 2 matches the two-adult rule. Use 3 for Easter, Christmas Eve, and other big services.

  3. 3

    Share with screened volunteers only

Send the link to people who’ve finished your church’s background check and training, not to the whole congregation.

  4. 4

Let reminders and the waitlist cover gaps

Volunteers get an email before their Sunday. When someone cancels, the first person on the waitlist is confirmed and emailed.

Rotation patterns that keep volunteers coming back

Asking each volunteer for one Sunday a month keeps the nursery staffed without anyone missing worship for weeks in a row. With eight Sundays-and-services a month and two adults each, you need around 16 regular volunteers. Say “one Sunday a month” in the sheet description so people self-limit.

Pair a long-time volunteer with a newer one where you can. Volunteers can see who else is on a slot when they sign up, so newer volunteers can choose a Sunday with someone experienced.

Keep safety rules in the description

Volunteers read the description before they pick a slot, so it’s a good place for the essentials:

  • Arrive 15 minutes early, and sign children in and out with the check-in system.
  • Never be alone with a child; two adults in the room at all times.
  • Where the allergy list, first aid kit, and incident forms are kept.
  • Who to contact if you can’t make it after the sheet closes.

Make yours in a couple of minutes

The starter sheet opens with example slots filled in. Change the dates and names, then share the link.

Questions

Is SlotSheet a child check-in system?

No. It schedules the adult volunteers. Keep using your church’s check-in system for children, name tags, and parent pickup.

Can I make the nursery rotation repeat every Sunday?

On the Organiser plan you can generate a slot for every Sunday between two dates, up to 40 at a time, for each service and room. That covers a full quarter in a few clicks.

Do nursery volunteers need to create an account?

No. A volunteer gives their name and email when they choose a Sunday, and the private link in their confirmation lets them cancel or move to another week.

Can the children’s ministry director and a coordinator both manage the schedule?

Yes, on the School / league plan ($15/month). The church account owner invites the other coordinators, and each signs in with their own email.
