Band booster volunteer sign-up
Band boosters run a small logistics company for six weeks in the fall. Uniforms, trailers, and the concession window are different crews, and they should look that way on the sheet.
Why the group text fails
One “booster help” spreadsheet turns into columns nobody understands. New parents don’t know what “pit” means, so they don’t sign up, and the same crew loads the truck.
What the sheet should do
- Job titles are written in human language, with the lifting and the time spelled out.
- Game nights are separate slots from Saturday contests.
- You can run several sheets — uniforms, concession, chaperones — and the School plan lets other boosters own them.
Tips from running this kind of sheet
- Define “pit crew” in the slot details the first year you use the sheet. Next year, duplicate it.
- Say if volunteers need a stadium pass, and who hands it out.
- Concession shifts should match the health-permit rules you already follow. The sheet is the roster, not the permit.
- Add a uniform-fitting night. It is a volunteer job even though it feels like an appointment.

Home game. Concession follows the booth lead’s routine. Trailer crew stays until the truck door is shut. The button below copies these into a new sheet you can edit before anyone sees it.

Questions
Can student officers be organisers?
Keep organisers as adults. Students shouldn’t manage a list of parent emails.
What if the game moves?
Edit the slot times. People still holding the spot can cancel from their email if they can’t make the new time.
